Privacy Policy

How RefundProof handles your proof and case data

RefundProof helps you prepare organized refund materials from your answers and uploaded proof. This policy explains what information we collect, how we use it, and how you can contact us about your data.

Important: RefundProof may process sensitive consumer documents such as receipts, emails, screenshots, and billing information. Upload only proof that is relevant to your refund case. Avoid uploading passwords, full card numbers, government IDs, or unrelated private information.

Information we collect

Account information

When you create an account, we collect the information needed to create and protect that account, such as your email address, password hash, and anti-spam verification result.

Case information

When you build a case, we store the company name, amount, dates, answers, requested outcome, generated report, message pack, and case status.

Uploaded proof

You may upload receipts, screenshots, PDFs, emails, chats, invoices, cancellation confirmations, payment proof, and related documents.

Payment information

Payments are processed through Stripe. RefundProof stores payment status, amount, plan type, and Stripe payment/session identifiers. We do not store full card numbers.

Contact form submissions

When you contact us, we may store your name, email, topic, case ID, message, IP address, user agent, and anti-spam verification result so we can respond and protect the form from abuse.

How we use your information

  • Create and save your refund case.
  • Extract useful details from your answers and uploaded proof where technically supported.
  • Generate a case summary, timeline, evidence checklist, missing-proof list, message pack, follow-up plan, and PDF proof pack.
  • Process payments and unlock paid reports.
  • Provide account support, troubleshoot issues, and respond to privacy or data requests.
  • Protect registration and contact forms from spam and abuse using basic rate limits and Cloudflare Turnstile verification.
  • Protect RefundProof from misuse, fraud, abuse, and unauthorized access.

AI processing

RefundProof may send relevant case answers, proof labels, extracted text, and file notes to an AI provider to help generate your case report, evidence checklist, message pack, and follow-up plan.

Images and PDFs may be stored as proof even when their text cannot be automatically extracted. Where extraction is supported, RefundProof uses extracted text to make the case report more accurate.

AI output can contain mistakes. You are responsible for reviewing the final messages and report before sending anything to a company, bank, payment provider, or consumer support channel.

Payments

Payments are handled by Stripe. Stripe may collect and process payment details, billing information, device information, and fraud-prevention signals according to its own terms and privacy policy. RefundProof receives payment confirmation and related transaction identifiers so we can unlock your paid proof pack.

File storage and security

Uploaded proof and generated PDFs are stored in protected server-side storage and are connected to your account and case. Signed-in users should only be able to access their own cases, uploaded proof, and PDFs.

No online service can guarantee perfect security. We use reasonable technical and organizational measures to reduce unauthorized access, but you should not upload information that is not needed for your case.

Data retention and deletion

RefundProof keeps account, case, proof, payment-status, and PDF data only as long as reasonably needed to provide the service, maintain billing records, resolve support or fraud issues, and protect the platform.

Current retention approach

  • • Active account case data and proof files are kept while the account and case remain active.
  • • Users may request deletion of a case, uploaded proof file, or account data.
  • • RefundProof may remove old abandoned, unpaid, test, duplicate, or unnecessary proof files when they are no longer needed.
  • • Payment records may be retained as needed for accounting, fraud prevention, payment disputes, and legal obligations.
  • • Backups and logs may persist for a limited period before they are overwritten or deleted through normal backup rotation.

Third-party services

RefundProof may use third-party services for hosting, database storage, AI processing, payment processing, email delivery, analytics, error monitoring, and file storage. These providers may process information only as needed to provide their services to RefundProof.
